Learn how to create a Remote Access administrator account, add employee users, manage their permissions, and remove users from the Remote Access website.

Written by Kate Biel

📝 Overview

Remote Access is available on any platform with an internet connection and lets you stay connected with your business on the go. This article walks you through creating an administrator account, adding employee users, managing Remote Access permissions, and removing users. To complete setup, you need access to your server computer.

⛔️ Stop-gap: For Remote Access to work properly, the business server computer must remain on with the software running. Remote Access displays real-time information from your database and cannot do this without access to the software.

💡 Pro tip: To make sure your system does not shut down, hibernate, or go into standby mode, click the Online Services drop-down menu in your software, click Remote Access Setup, then click Disable Sleep Mode. This prevents your system from turning itself off or going to sleep when you leave work. Turning off your monitor is fine.

🛠️ Setup

Start by creating an administrator account, then activate Remote Access accounts for your employees.

👑 Create an Administrator Account

The first account you set up should be for a manager or business owner. This account controls employee access to all the features available in Remote Access. You can designate administrator access to more than one employee.

  1. In your software, click the Remote Access icon in the toolbar, or click the Online Services drop-down menu (or Web Access if you are using Version 10) and click Remote Access Setup.

  2. Click Sign Up Now in the window that appears.

  3. Click Create Remote Access Account in the window that appears.

  4. A web browser opens. Click Continue to Remote Access Sign Up.

  5. Sign in with your DaySmart Account. If you do not have one, click Create an Account.

  6. Select the employee to associate the account with from the Administrator Name drop-down menu, then click Continue.

  7. Select the billing information to use. If we have a card on file for you, it populates automatically. If we have no information, or you want to change the card used for billing, you can do so on this screen. Click Next when you are finished.

  8. Click Continue to DaySmart Remote Access to go to the Remote Access website. You can now log in anywhere using this website or the iPhone, iPad, or Android apps with the same username and password. The apps can be downloaded from Google Play and the App Store.

👥 Add Additional Users

Once you have created an administrator account, you can activate Remote Access accounts for your employees.

  1. Log in to your Remote Access website.

  2. Click Employees at the top. All of your employees display. Each person has a gray box, except the administrator (you), whose box is green.

  3. Double-click the employee whose account you are activating.

  4. Click the New Remote User Account tab.

  5. Click Create New User Account.

  6. If the employee already has an email address entered, it is selected for their account. If they do not have an email address, add one here. You can also change an existing email address.

  7. Once you confirm the email address, password setup and activation instructions are sent to the employee by email.

  8. If the employee is present and wants to set a password now, double-click their box again (it should now have diagonal green slashes), click the Remote User Account tab, and click Set Password for Employee.

  9. When activation and a password have been selected, the account is activated. The employee can now log in anywhere using the Remote Access website or the iPhone, iPad, or Android apps with their username and password.

  10. To designate administrator-level access for any account, go back to the Remote User Account tab once the account is activated and click Make an Administrator.

⚠️Important: Making an account an administrator grants the highest level of access. Admins have full, unrestricted access by default, and their permissions cannot be customized. This includes the Account Management website (add-ons, business and ownership information, billing), adding and managing employees, Payroll, and Messaging settings. Reserve admin access for owners and trusted staff.

  11. Repeat these steps for any additional employees.

🔐 Manage Remote Access Permissions

The administrator controls employee access to Remote Access functions. Employee access and permission settings you assign in your software carry over to Remote Access, and any changes you make in Remote Access are enforced in the software.

  1. Go to your Remote Access website and sign in.

  2. Click More, then click Options at the top of the screen.

  3. Expand the Management section on the left side.

  4. Click Employee Access.

  5. Click Set Up Employee Access.

  6. Mark settings in each tab Red to restrict access or Green to grant access.

✍️Note: Move the slider from green to red to restrict access to any function.

🚫 Remove a Remote Access User

Deactivate an employee's online account from their employee record on the Remote Access website.

  1. Go to your Remote Access website and sign in.

  2. Click Employees.

  3. Double-click the employee you want to deactivate.

  4. Click the Remote User Account tab.

  5. Click Deactivate Online Account.

  6. In the window that opens, click Deactivate Account.

✍️Note: You may be prompted to delete the account if the employee no longer has access to any online services.
